DVP Europe is a full service event marketing agency. We specialize in live communication and events. In the past we where responsible for the venue management and exploitation of the Netherlands Pavilion and Rotterdam Pavilion at the 2010 Shanghai Expo and the Netherlands Pavilion at the 2012 World Expo in Yeosu south Korea.

Now, we again have this great task and are responsible for the venue management of the Netherland Pavilion at the World Expo Milano 2015.

At the moment we are looking for internships to fulfill two management trainee positions. Herewith a summarized version of the job profile
.

Time frame / Place:
- 6 months: April 1
st – November 30th, 2015 in Milan
- In general 5 days/week – 8 hours/day.
- During May – October work days may also occur at weekends, since Expo does not close at weekends. - Monthly allowance approx. 375,- Euro (to be confirmed), accreditation will be arranged

• Main requirements:

  • Experience in office management or project management

  • Strong sense of responsibility

  • Reliable, punctual and flexible

  • Representative

  • Thinks out of the box

  • Will be in charge of several facets of pavilion management cross different sectors.

  • Fluent in English and Italian (Local Milanese is preferred)

  • Quick with Word/Excel/PPT/Keynote (Mac)

  • Drivers licence

  • For the sake of creating a balance within the team, female candidates are preferred

EUROPE

• Responsibilities.

  • Overall office management. Managing the office functionalities including managing cleaning team

  • Communication with Expo authorities on a daily basis

  • Creating office protocols, keeping stock and ordering/purchasing of office items, setting up house rule

  • HR assistance, preparing work schedules, talks, team activities, arranging hotels and other travel arrangements

  • Assisting in translation matters

  • Assisting in protocol and other hospitality matters

  • Assisting in all kind of matters for all disciplines at the Pavilion

  • Reports directly to deputy pavilion manager

1. Handling the cash system, all selling activities and the goods with care 2. Assisting and advice customers
3. Refilling of the store, unpacking deliveries / boxes and items
4. Keeping the shop clean and organised, handling of garbage

Working area
You will be working in the restaurant of the Netherlands pavilion, named ‘The Glass House’. The restaurant will mainly host groups and delegations with bookings for meetings/workshops/conferences in combination with breakfast, lunches or diners. On days without bookings, the restaurant will be used as a public restaurant.

  1. Serving guests

    . Welcoming and placing of the guests
    . Serving meals, drinks
    . Taking the orders / wishes

Hallo Ik ben Sanne, 27 jaar en kom uit Nederland. Sinds een paar maanden woon ik in Milaan en ben ik op zoek naar werk. Ik spreek goed Engels en een klein beetje Italiaans (ik volg twee ochtenden in de week een cursus). - Mogelijk ondersteunen op het gebied van huisvesting, reislogistiek
- Databank met verzamelde gegevens over stagiaires ontvangen (allergieën / medicijngebruik / vaccinaties / verdere nodige vertrouwelijke informatie over bijv. thuistoestand etc) en ‘dossier’ van elke stagiair bijhouden
- Indien nodig, informatie verstrekken over verzekeringen
- Informatiepakket rondom verblijf in Milaan opzetten en doorspelen aan projectgroep

- Organisatie van evt. regelingen Openbaar Vervoer tussen huisvesting en Expo terrein

Tijdens de Expo / oponthoud stagiaires in Milaan >

- Organisatie van aankomst en vertrek van groep 1 (april – juli 2015) en groep 2 (juli – november 2015), incl. ‘onthaal’ en ‘uitzwaaien’
- Organisatie en uitvoering van introductiedagen Milaan (kennismaking met Italiaanse studenten, wegwijs door Milaan, stoomcursusje Italiaans taal&cultuur, houserules voor vrije tijd, evt. fitting outfit voor Expo, uithandigen evt. goodie bag)
- Organisatie overlapping van beide groepen in juli 2015 (dubbele huisvesting!)
- Kantoor met inloopuren op de campus waar de stagiaires wonen
- Begeleiden bij verzekeringen, medische zaken, mobieltelefonie, vervoer e.d.
- Fungeren als vertrouwenspersonen die tijdens het project full time beschikbaar zijn voor de studenten, een thuishaven bieden in Milaan.
- Creëren van groepsgevoel bij studenten.
- Ondersteunen bij de eerste werkdagen (het op tijd opstaan, centraal verzamelen, begeleiding naar het Expo paviljoen, afhalen van het paviljoen e.d.)
- Ondersteunen en bemiddelen bij artsbezoeken, banken, huisvestingpartij, calamiteiten, sociaalgerelateerde problemen e.d.
- Toezicht tijdens ziekteverzuim
- Toezicht houden op het gedrag van de stagiaires (naleving van de huisregels, signalering van problemen, etc)
- Opzetten en hanteren van centraal meldpunt voor ziekte en verzuim
- Opzetten en hanteren van 24/7-hotline

- Nauwe samenwerking met venue management (en indirect met de projektgroep) (melden van verzuim –/ probleemgevallen, gedragsproblemen, zoeken naar oplossingen)
- Ondersteunen bij vrijetijdsbesteding (adviseren bijv. lidmaatschap sport o.a.)
- Evt. organiseren activiteiten (leisure programma)
- Afronding, rapportage en evaluatie

Opmerking:

In dit team zouden HBO-studenten zeer goed stage kunnen lopen. Zowel afkomstig van Psychologiestudie, Pedagogiek of Sociaal werk.
Optioneel: Dmv inzet van HBO-studenten zou ook hulp bij stagebegeleiding / knelpunten bij stageopdracht kunnen worden geboden, bijv. dmv een wekelijks spreekurenprogramma
